ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Provide advanced assistance to sales executives by performing various complex administrative support functions, typically of a confidential nature.
• Perform advanced word processing to provide complex presentations, spreadsheets and graphs.
• Research, compile, summarize information to formulate correspondence and respond to various inquiries from internal and external customers. Utilize company personnel at all organizational levels to gather information to prepare reports.
• Provide general support for the field based sales team and follow up on inquiries and tasks.
• Screen mail and callers, respond to and route inquiries to appropriate personnel as necessary; determine importance and priority of various issues and determine what major issues should be brought to the attention of the VP of sales.
• Coordinate, assist in planning, prepare agenda and monitor meetings; maintain and update Outlook Calendar.
• Independently manage multiple administrative projects and meet deadlines. May exercise judgment and discretion in completing assignment.
• Handle highly confidential, sensitive and/or critical information, files, records and reports.
• Coordinate Company cell phones/devices. Order devices through vendor, issue new devices to employees, track and reconcile invoices, troubleshoot user issues. Monitor, manage, and provide general support to users with regards to cell phones/devices.
• Set up new users in the electronic travel tool, Concur, and support new users in their travel arrangements.
• Act as the Fleet Administrator for sales department vehicles. Process and update fleet vehicle information, process orders for new/replacement vehicles, troubleshoot fleet issues with fleet vendor, Assist in the process of aiding sales reps with vehicle registration, titling, ensuring state and federal compliance requirements, and record keeping of fleet related materials.
• Serve as a back up to the receptionist if the receptionist and the executive assistant are not available by answering incoming calls; ensuring each call is transferred to the appropriate party.
• Make complex travel and social arrangements for the executive sales team.
• Present a professional image in all business matters.
• Perform other duties as required. 

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

• Bachelor’s Degree preferred, or equivalent education and experience.
• 1-3 years of job experience supporting Executive Managers.
• Advanced knowledge of Microsoft Outlook, Word, Excel, Access, PowerPoint, and Internet Applications.
• Ability to work well under pressure and time frames: and with many different personality types.
• Must be able to multi-task, be a self-starter and dynamic team player who possesses a strong attention to detail and excellent verbal and written skills.

PHYSICAL DEMANDS:

• While performing the duties the employee is:

· constantly required to reach to use computers and other office equipment
· constantly required to view objects at close and distant ranges
· frequently required to communicate with others
· frequently required to sit and stand
· Requires fine manipulation and simple grasping in order to utilize the computer and other standard office equipment such as telephone, fax machines, copiers, etc.
· Required occasional lifting and transporting of items weighing up to 30 lbs.
· This position may require occasional travel.

Note: For the purpose of this summary, occasionally is used to represent up to 1/3 of the time given to the work day, frequently represents 1/3 to 2/3 of the time and constantly represents 2/3 or more of the time.

WORK ENVIRONMENT:

Employee frequently works in a professional office environment and with lots of computer equipment and moderate amounts of noise and activity. Employee may occasionally work at client locations and may occasionally be required to travel. The work environment is fast-paced and demanding. Off-shift, weekend and overtime duties may be required as assigned by manager.
